Create System Email Templates from Web Store Email Templates

In 2018.2, to facilitate the use of system email templates, system email templates have been created from existing web store email templates, provided they were selected on the Web Site Setup page at the time of the upgrade. However, you can continue to use web store email templates if you wish. You can also manually initiate the creation of system email templates from web store email templates at any time.

To create a system email template from a web store email template:

  1. Go to Documents > Templates > Web Store Email Templates.

  2. Click Edit next to the web store email template whose content you want to use in the new system email template.

    If the web store email template uses a file that was created outside NetSuite and then uploaded to the File Cabinet, you can still use it to create a system email template. However, the new system email template will not be a standalone file.

  3. Click the Actions list and then click Create copy in System Email Templates.

  4. On the Create System Email Templates from Web Store Email Template page, select the:

    • Language of the system email template you want to create. If the web store email template has a language selected for it, this value is pre-selected and you cannot change it.

    • Web Site for which you want to create the system email templates.

    • Email Type of the system email template you want to create.

  5. If you want to:

    • Create a new system email template, select –New– in the System Email Template list.

    • Add a language version to an existing system email template, select the existing system email template in the System Email Template list. If the selected system email template contains information in the same language as the web store email template, the process deletes the existing content in that language from the system email template and replaces it with content from the web store email template.

  6. Click Continue.

    A new system email template is created from the web store email template. The system email template is available at Setup > Company > Company Management > System Email Templates. The name of the system email template contains the date and time at which it was created and its description contains the name of the website and the web store email template on which it is based.

The process of creating a system email template from a web store email template does not affect the existing email settings. If the web store template is selected for a particular email, it remains selected. You may select the newly created system email template on the Web Site Setup record when you are ready to do so. It is strongly recommended that you test the newly created system email templates before you use them. You can use the Source mode of the template editor to view the source code of the template and review any fields with hidden logic after conversion. To access the Source mode, open the template in Edit mode and click the DIV </> icon.

Note

If the web store email template is not in your company default language, using a system email template based on it in your web store may result in unexpected behavior. To avoid this, make sure that you create a version of the system email template that is in your company default language.
